Apartment handover: getting ready for the next tenant
Departure dates, inventory, keys, checks and relisting: a practical checklist for organising an apartment handover.

A tenant’s departure does not always mean an apartment is ready for the next arrival. Between those dates come inspections, checks, any necessary work and updates to the listing. Organising the transition helps reduce avoidable delays without promising availability that has not yet been confirmed.
Keep three dates separate
Record the end of the agreement, the expected actual departure and the date the home will be ready separately. They may coincide, but that should not be assumed. Even for a short stay, the departure date is essential operational information, regardless of how the stay is documented.
If an occupant reports a change, update the calendar promptly and tell whoever is organising the handover. New availability remains provisional until the property’s condition and the time needed for preparation have been checked.
Prepare to compare with the arrival condition
Gather the inventory, initial photographs, equipment list and number of keys originally supplied. Check the same items systematically at departure rather than relying on memory. Dated photographs and a shared description make any points requiring further attention clearer.
Article 1590 of the Italian Civil Code addresses the condition in which the property was received and allows for deterioration arising from use in accordance with the agreement. Signs of use are not automatically damage to be charged: assess the circumstances.
An essential handover checklist
- Access: keys, remote controls and supplied devices; management of digital access credentials where applicable.
- Rooms: condition of walls, floors, furniture and bathroom fixtures compared with the initial record.
- Equipment: inventory and functional checks, without undertaking technical work beyond your competence.
- Consumption: available meter readings and information required for any final reconciliation.
- Open actions: cleaning, repairs, quotations, responsible person and expected completion date.
Record anything needing further checks. An operational list should not become blanket acceptance of amounts that have yet to be established. Disputes and the security deposit also require separate and appropriate handling.
Relist with current information
Check photographs, description, amenities and financial terms before reactivating the listing. If a service has changed, update booking platforms and standard messages too. An accurate description of the home today is more useful than a listing copied from a previous season.
Where viewings can take place while the home is occupied, agree access and arrangements with the occupant. Do not present a date dependent on unassessed work as confirmed. For more on presentation, read our Airbnb listing guide.
Measure vacant days without rushing essential work
Separating days needed for repairs, time before publication and time awaiting the next occupancy helps identify opportunities to improve. Contacting a contractor early or maintaining a complete inventory may avoid delays; neither justifies skipping checks or ignoring a problem.
